How many times should you follow up on an estimate?

Three, spread over about two weeks, then stop. Two days for a check-in while it is fresh, a week for the real nudge, two weeks for a clean close. Beyond that you are not being persistent, you are being the contractor they tell their friends about for the wrong reason. The stopping is as important as the chasing.

Will this annoy my customers?

Not if it is written like a person and it stops. The version that annoys people is the one that arrives every three days forever, ignores their reply and reads like a template. These are in your voice, they pause the moment someone answers, and every message gives an easy way to say no thanks.

Does it work with the quoting software I already use?

In most cases yes, and where a direct connection is not possible there is usually a route through email or a shared file that costs nothing extra. If yours genuinely will not connect, I will tell you at the audit rather than after you have paid.

What if the customer replies?

The sequence stops for that customer immediately and the reply comes to you. Nobody who is mid-conversation with you gets an automated nudge on top of it, which is the failure mode that makes these things embarrassing.
